1. General Policy

The Wading River–Shoreham Chamber of Commerce ("Chamber," "we," "our," or "us") is committed to maintaining fair, transparent, and consistent policies regarding payments, cancellations, and refunds.

As a community-focused organization, the Chamber relies on membership dues, event registrations, vendor fees, and sponsorship contributions to support local businesses, community programs, networking opportunities, and events.

By purchasing a membership, registering for an event, applying as a vendor, or purchasing a sponsorship, you agree to the terms of this Refund and Cancellation Policy, subject to applicable law.

2. Annual Membership Dues

All annual Chamber membership dues are nonrefundable once membership has been approved and activated, except where otherwise required by law.

Membership dues support the Chamber's ongoing operations, programs, business promotion, and community initiatives.

  • Memberships are generally valid for 12 months from the date of activation unless otherwise specified.

  • Members may cancel their membership at any time by submitting a written request.

  • Membership cancellations do not qualify for prorated refunds.

  • Membership benefits remain available through the end of the paid membership period unless membership is terminated under applicable Chamber policies.

  • Failure to utilize membership benefits does not qualify a member for a refund.

If a membership application is declined and payment has already been collected, the Chamber will issue a full refund.

3. Chamber Event Registrations

The Chamber organizes networking meetings, business mixers, educational seminars, holiday celebrations, and community events.

Cancellation by an Attendee

Unless a specific event states otherwise:

  • Cancellations received before the event are not eligible for a refund.

  • Failure to attend an event does not qualify for a refund.

  • Requests to transfer registrations to another attendee may be approved at the Chamber's discretion.

Transfer requests must be submitted in writing to wrsc@wadingrivershorehamchamber.com.

Cancellation by the Chamber

If the Chamber cancels a paid event and does not reschedule it, registered attendees will be offered a full refund.

If an event is rescheduled, existing registrations will generally remain valid for the new date.

4. Vendor Registration Fees

Vendor participation at Chamber-sponsored events, including festivals, fairs, and community celebrations, may require an application, approval, and payment.

Vendor Application and Approval

  • Submission of a vendor application does not guarantee acceptance.

  • Vendor participation is subject to Chamber approval and space availability.

  • If a vendor application is declined after payment has been collected, a full refund will be issued.

Vendor-Initiated Cancellations

Unless the specific event's vendor agreement states otherwise:

  • All cancellations received before the event are nonrefundable.

  • Vendors who fail to attend or occupy their assigned space are not eligible for a refund.

Vendor Removal

Vendors removed from an event for violating published event rules, safety requirements, or applicable laws are generally not eligible for a refund, except where required by law.

5. Weather-Related Cancellations and Postponements

The Chamber hosts indoor / outdoor community events that may be affected by weather conditions, including rain, high winds, severe storms, or other safety concerns.

The Chamber reserves the right to postpone, reschedule, relocate, modify, or cancel an event when reasonably necessary.

If an Event Is Rescheduled

  • Vendor registrations and event tickets will generally transfer automatically to the rescheduled date.

If an Event Is Canceled Without Rescheduling

Paid attendee registrations and vendor fees will not be refunded unless a different lawful cancellation arrangement was clearly disclosed and agreed to at registration.

The Chamber is not responsible for additional expenses incurred by participants, including transportation, lodging, merchandise, staffing, equipment rental, or other preparation costs, except as required by law.

6. Sponsorship Payments

Sponsorship contributions help fund Chamber programs, business initiatives, and community events.

Sponsorship Refunds

  • Sponsorship payments are generally nonrefundable once advertising, promotion, printing, or other sponsorship benefits have begun.

  • If a sponsored event is canceled, the Chamber will review whether sponsorship benefits have already been delivered and offer an appropriate refund, credit, or alternative benefit consistent with the sponsorship agreement and applicable law.

Any event-specific sponsorship agreement will govern where its terms differ from this general policy.

7. Donations and Contributions

Voluntary donations and charitable contributions made to support Chamber initiatives are generally nonrefundable.

If a donation was made in error or an incorrect amount was charged, the donor should contact the Chamber promptly.

The Chamber will review requests for correction or refund individually.

Donations designated for a particular project or program will be handled in accordance with applicable law and any restrictions accepted by the Chamber.

8. Duplicate or Incorrect Payments

If you believe you were charged more than once or charged an incorrect amount, please contact the Chamber as soon as possible.

Verified duplicate payments or billing errors will be corrected, and any amount collected in error will be refunded.

9. Refund Processing

Approved refunds will generally be issued to the original payment method whenever possible.

Please allow approximately five (5) to ten (10) business days after a refund is issued for the funds to appear in your account, depending on your financial institution or payment provider.

Processing times may vary.

Refunds will be issued in accordance with applicable law, including any legally required deadlines.

11. Exceptions and Special Circumstances

Any discretionary exception must be approved by an authorized Chamber representative.

Granting an exception in one situation does not obligate the Chamber to grant similar exceptions in other circumstances.
